The Centers for Medicare and Medicaid Services (CMS) now defines Medicare Advantage agents and brokers as TPMOs (third-part marketing organizations). Starting October 1st 2022, CMS has imposed new call recording and disclaimer requirements for TPMOs.

Among the new requirements going into effect soon, agents and brokers will need to record all sales calls with beneficiaries in their entirety, including the enrollment process. The recordings must be retained for 10 years in accordance with HIPAA and these requirements will apply to new and existing customers and to landlines and mobile lines.

FAQ's

What if a customer misunderstood the licenses and wants to cancel?

Plan may be canceled within the first 10 days.

Can an SMB customer buy two licenses for MS Teams?

Yes. But since it is less than 10 licenses, customer needs to buy SMB plan.

Are licences per user o per device?

Licences are per device except for MS Teams.

A customer wants to record 11 MS Teams users who will use cellular phone and desktop Teams applications. How many licences are needed?

All licenses are per device, except MS Teams, that are per user. In this case 11 Corporate Licenses will be needed.

Can I use my current phone number, or do I get a new number?

You can choose what to do, if you want to use a different number to differentiate your private calls from your business calls, we will provide you with an extra phone number at no additional cost.

Do I need to have a data plan to be able to use RTS?

Yes, you need to have a data plan to be able to use RTS. The app needs access to internet to work.

Can I make calls from my computer?

Yes, when you subscribe to Recordia we will send you the instructions to activate the service on your cellular phone but also how to make and receive call from your computer using softphone.

Are all calls recorded?

When you subscribe to Recordia you can chose for one of the two models:

Recordia Automatic: With this mode, all the inbound and outbound calls will be recorded. You have the possibility to stop any call for being recorded (at any time) by pressing a two keys combination.
Recordia on demand: Inboud and outbound calls are not recorded by default, you need to press a button to record each call.

How do I listen to any call?

Recordia Portal gives you access to all your calls and you can listen to them but also download them if you wish.

How can I find calls if CMS requests a specific call or calls from a specific period?

You can search for calls using:

Contact Number: Inboud or outbound
Notes: In Recordia Portal you have the possibility to add notes after each call and search for those calls using any of the words from your notes.
